We are looking for an energetic and competent individual to join our team as Office Coordinator - Finance.
You will be responsible for:

The general operation of the office

Provide overall financial cost accounting support and monitor the day-to-day financial operations within the company, such as payroll, invoicing, and other transactions.

Assist in coordinating financial internal audits and producing regular audit reports
Specific Responsibilities
-
Maintain office services by organizing office operations and procedures, controlling correspondence, designing filing systems, and executing clerical functions.

Ensure office financial obligations are paid in a timely manner.

Produce necessary financial reports, including monthly expense reports, monthly cash forecasting, and monthly bank reconciliation.

Monitor contracts and procurement to ensure compliance with all contractually required reporting.

Attend off-site events to ensure smooth implementation of activities and troubleshoot any emerging problems on event day.

Advise the Director on logistical, administrative, and financial matters.

Assist in developing as well as monitoring internal control policies, procedures controls.

Produce the performance reports for contracts (including financial and activity forecasts)

Undertake frequent random audits of activity and claims against contracts to ensure the organisations pays clients on time/regularly.

Maintain consistent, accurate and efficient processing, inputting, coding, and reconciliation of transactions into financial software (including invoices, salaries, direct debit, cash, etc).

Initiate payment processes by preparing appropriate documentation for review and approval by the Accountant and Director

Ensure that staff payroll administration is verified for accuracy, properly processed and that all statutory payments such as PAYE are made on a timely basis.

Support management of funds and disbursements, ensure acknowledgement of receipts and financial reporting is accurate, professional and timely.

Maintain well organized physical and electronic financial documentation, ensuring that all financial records are filed appropriately and can easily be retrieved by other staff for review and reporting, as well as for audit purposes.

Ensure accurate and safe management of sensitive and confidential data.

Prepare for and collaborate with internal and external auditors to ensure successful audit.

Participate actively in organization-wide learning, development and other joint activities.

Undertake any other lawful tasks as may be assigned by the manager, including assisting and supporting other projects and colleagues as requested.
Qualifications
-
Three or more years of experience working in office administration or finance with at least two years in a leadership role.

University graduate or OND/HND with a relevant degree in finance, accountancy or business administration

Excellent computer skills, including a high degree of proficiency in Microsoft Word, Excel, PowerPoint as well as financial management software and accounting spreadsheets.

Knowledge of office administrator responsibilities, systems, and procedures

At least three years of office administration and financial management experience preferably working with budgets, shipping lines/agents and suppliers.

Experience working for an agricultural business or export company.

Excellent written and verbal English language skills.

Organized, detail oriented, professional, efficient, ethical, responsible, trustworthy, person with strong communication skills.

Terms and Conditions

This post is offered as a full-time contract, including a 6-month probation period.

The standard working week is 40 hours per week Monday to Friday.
